Record calls and prepare for meetings

Send the notetaker to Google Meet, Zoom or Teams, ask for everyone’s consent where the law needs it, upload transcripts, and read the brief before a call.

Turn the notetaker on

Each person chooses under Settings → Mail and calendar → Notetaker, which appears once a mailbox is connected: off except when you send it from a meeting, which is the default; meetings with people outside the company; or every meeting with a Meet, Zoom or Teams link. It works with Google Meet, Zoom and Microsoft Teams, on every plan.

For Zoom, press Connect Zoom there first; the notetaker joins once you’re in, and leaves when you do. On Meet and Teams, admit it from the waiting room or lobby. On a meeting’s page, Send notetaker sends it to that one call, Keep it out keeps it away, and Remove it takes it out of a call in progress. It joins under your name, as your notetaker, and says in the call’s chat that it is recording.

An owner or admin chooses under Recording consent: Announce it in the chat, the default, or Everyone on the call must agree. With the second, its name starts “Recording:”, it tells everyone on the call, and everyone who joins later, how to stop it, and if anybody types “stop” in the chat, or removes it, it leaves at once, and nothing from that call is kept: its recording and transcript are deleted, the recording provider’s copy too. A change applies from the next call.

Whichever you choose, getting the agreement or giving the notice the law requires where people are is up to you.

What you get

After the call, its meeting has the transcript, the video and the audio, and a summary, and the promises each side made become tasks. A recap is emailed to you after each call unless you turn off Email me a recap after each call. Turn on Coach me on my calls for private notes on how you came across, which only you see.

Delete recording on a call’s page deletes the video and audio, and keeps the transcript. Whoever’s notetaker it was, the meeting’s owner, or an owner or admin can delete one.

Upload a transcript

From another recorder: open Meetings, choose Import / Export → Import from CSV, and use Import call transcripts. It takes subtitle (.vtt or .srt), text, Markdown, Word and PDF files of up to 5 MB each, several at once. Each is filed on the meeting it matches by when it happened, who spoke and its title, and a meeting is made for one that matches none.

Share a meeting’s summary

On a meeting, choose Share → Create link. The page it opens shows the meeting’s title and time, the names of the people from outside, its summary, its notes and its open action items, and never the prep, the account, the transcript, the recording or anybody’s email address. Stop sharing turns the link off.

Meeting prep

For each meeting with people from outside in the next 48 hours, Migaru writes a brief from the account, its people, recent threads, open deals and open tasks: where things stand, who’s in the room, and what’s worth raising. It is on the meeting, and your home page says Brief ready. Where there’s too little on file to say anything useful, there isn’t one. To stop them, set Meeting prep’s AI fill to Off (see How records keep themselves up to date).
