# CRM data capture: Every conversation, on the right record.

Email, meetings and Slack, filed for you.

> Email threads, meetings and calls with outside companies, and who you talk to in Slack, filed on the right contacts and accounts, with two years of history.

Migaru reads your mailbox and calendar, notes who you talk to in Slack, files each conversation on the people and company it belongs to, and keeps summaries and dates current, so the record never depends on someone typing it up.

## At a glance

- **Captures:** Email threads and meetings with outside companies, who spoke in the Slack channels you add, and calls its notetaker records or transcripts you upload.
- **Matching:** People by email address and companies by web domain, with subdomains folded in.
- **History:** Up to 24 months of mail and calendar when you connect, and meetings up to three months ahead.
- **Email bodies:** Headers and your provider’s short preview by default. Full bodies only if you turn them on, read in memory and never stored.
- **Judgement calls:** By default, stage, deal value and close date are suggestions for you to accept or dismiss.

## The record is always behind the relationship.

Logging every email and call is nobody’s favourite job, so the CRM ends up describing last month.

### What happened never gets logged

The call that changed the deal and the thread where they asked for a discount only reach the CRM if someone copies them in by hand. Usually nobody does.

### The fields everyone filters on go stale

A last-contacted date from August, a stage nobody has touched since the kickoff, a summary written four calls ago. The fields that matter most are the ones nobody has time to maintain.

### What the team knows sits with one person

Why the deal stalled and who really signs is known to whoever ran the account. The next rep, or the next agent, starts from nothing.

## How the record keeps itself

Connect your mailbox and calendar once. Migaru does the filing from then on.

### Email: Every thread on the right record

Migaru files each conversation with an outside company on its contacts and account, and on the deal when the account has a single open one, matching people by email address and companies by web domain. Newsletters and one-way mail are left out, except somebody writing in to ask to buy, and nobody forwards or BCCs anything.

### Calendar: Meetings on the account before they happen

Migaru reads your calendar from up to two years back to three months ahead. Book a meeting with someone new at a company address and their contact and account exist before the call. Meetings with nobody from outside are left out by default.

### Slack: Slack conversations count as contact

Add the Migaru app to your public channels, and people from outside companies who speak there are added to your contacts and accounts, or matched to the ones already there, unless their company hides their email address from other workspaces, with each account’s last-contact date kept current. Message text isn’t stored.

### Fields: Summaries and dates that keep up

Last-contact dates move as mail and meetings arrive, and summaries of each account, contact, deal, email thread and meeting are rewritten when there’s something new to say. Fields that are a judgement, like a deal’s stage and close date or a company’s industry, are suggested for you to accept or dismiss, and never change without your approval.

### History: Two years of history from day one

When you connect, Migaru goes back up to 24 months through your mail and calendar, so the record starts with the relationships you already have. Add a field later and fill it from that history, after seeing how many records it will read.

### Duplicates: One record per person and company

A thread that reached two teammates is kept once, and so is a meeting on two calendars. When two records still look like the same person or company, Migaru flags them in the review queue for you to merge.

## Frequently asked questions

### What does Migaru capture?

From email: who wrote to whom and when, the subject, and the short preview your mail provider gives of the latest message. From your calendar: each external meeting, and the outside people on it who are in your CRM. From Slack: who spoke in the channels you add it to, and when. Calls are recorded by the notetaker, for each person who turns it on, or come in as transcript files you upload. From those, Migaru creates contacts, accounts, meetings and email threads, keeps their summaries and dates current, and opens a deal for a company that is plainly buying.

### Does Migaru read my email bodies?

Not unless you turn it on. By default it reads message headers and your provider’s short preview. Turning on “Read message bodies” for your mailbox lets Migaru find commitments in threads with outside companies and turn them into tasks, tell when someone writing in is asking to buy, and, with follow-up drafts on, learn how you write from what you sent. The text is read in memory and never stored. What’s kept is the tasks, each with a sentence quoting the promise it came from, and a short note on your style that only you can see.

### Which email and calendar does it work with?

Gmail or Outlook connects in a couple of minutes, along with its calendar, and an admin can add Slack from settings. There’s nothing to install. Turn on the notetaker and it joins the Google Meet, Zoom and Teams calls on that calendar; for Zoom, connect your Zoom account too.

### Will it create duplicate records?

It’s built not to. Contacts are matched on email address, including addresses kept from earlier merges, and companies on their web domain, with subdomains folded in. When two records still look like the same person or company, Migaru flags them in the review queue, and you decide whether to merge.

### Can I choose what it picks up?

Yes. Each person chooses which mailbox to connect, how far back to read, whether contacts are created only for people they’ve written to or invited to a meeting, whether deals are opened for companies that are buying (while that’s on, somebody writing in to ask to buy counts, even before you reply), whether the notetaker joins none of their calls, only external ones or all of them, and whether their mail and meetings keep subjects, titles and previews at all, or only who and when. Meetings and threads with nobody from outside are left out by default. And an admin sets, field by field, whether Migaru fills it automatically, suggests it for approval or leaves it alone, and can switch the summaries and meeting prep it writes off the same way. Stage, deal value and close date are suggestions by default.

### How far back does it go?

When you connect, it reads back up to 24 months of mail and calendar, or 12, 6 or none if you prefer. If you add a field later, an admin can fill it from that history: Migaru says how many records it will read before it starts, and only fills the ones that are empty.

### Is my data secure?

Data is encrypted in transit and at rest, mailbox and connector credentials are encrypted again inside the database, and API keys are stored only as hashes. We don’t train models on customer data, and your records go with you: export any view as CSV, Excel or JSON, or read every one back out through the API.
