# How records keep themselves up to date

> What Migaru writes by itself, what it suggests for you to approve, how an admin changes that field by field, and how to see what changed a field.

As mail, meetings and calls come in, Migaru updates the records they’re about. Some fields it writes itself, some it suggests for somebody to approve, and some it leaves for you; an admin decides which, field by field.

## What it writes, and what it asks about

Every field has an **AI fill** setting. **Auto** writes the update itself, **Suggest** proposes it when new activity lands, and **Off** leaves the field to be changed by hand. A summary is either written or not. Unless an admin changes them:

- **Written by itself:** the summaries of accounts, contacts, opportunities, meetings and email threads, an account’s About their business, and meeting prep.
- **Suggested:** an account’s website, industry, headcount, revenue, last funding, location, LinkedIn and Twitter; a contact’s email, phone, job title, department, LinkedIn and location; and an opportunity’s stage, contract type, monthly fee, contract term, one-time fees, close date, start date, next steps, close reason and competitors.
- **Worked out:** an opportunity’s total contract value, committed value, weighted value and renewal date come from its terms and stage, and every record’s Last interaction and Next interaction from its mail and meetings.

An owner or admin changes a field’s setting under **Settings → Data model**, in its object’s **AI fill** column. A field you add starts as Off. A field set to Auto is written over even when it already has a value, and its history says so. A suggestion somebody dismisses isn’t made again.

To fill a field on records that are already here, open the field’s settings and use **Fill from history** on its History tab: it fills the records where it is empty, a batch every fifteen minutes.

## Review

What waits for a person is in **Review**, grouped by kind: changes to records’ details, follow-up drafts, sequence steps, records and links the agent proposes, opening lines for Outreach campaigns, and possible duplicates. **Approve** applies one and **Dismiss** throws it away, each with the reason it was suggested; tick several to decide them together. The keys are A to approve, D to dismiss, X to tick, J and K to move, and Z to undo a dismissal, for a few seconds after it. An approval can’t be undone.

Anyone in the workspace can decide what’s in Review, except follow-up drafts, which only the person they belong to sees. A record shows its own suggestions too, with **Accept** and **Dismiss**, and the phone app has them under **Review**.

## Deals it opens by itself

While **Create opportunities** is on for a mailbox, which it is unless turned off, Migaru opens a deal without asking when somebody writes in to ask to buy, when someone answers your mail ready to buy, or when a company you’ve talked to in the last 90 days, that has never had a deal, is plainly buying. Its owner is told, with the reason. A deal somebody deletes isn’t opened again.

## Every change, and what made it

Hover over a field on a record and choose the clock beside it to see its last 25 changes, newest first: each value, when it was set, and what set it — a person, the agent for a person, mail, calendar or Slack sync, Migaru itself, an import, the API, a workflow, Outreach or a website form.
