# Connect your mailbox and calendar

> Connect Gmail or Outlook with its calendar so Migaru files your conversations and meetings, and choose what it reads, keeps and creates.

Migaru builds your accounts, contacts and their history from the mail and meetings you already have. Each person connects their own mailbox and chooses what it shares, on every plan.

## Connect it

Open **Settings → Mail and calendar**. Choose how far back to read under **Read back**: 24 months, unless you choose 12, 6, or nothing before today. Then choose **Connect Google** for Gmail and Google Calendar, or **Connect Microsoft 365** for Outlook mail and calendar, sign in, and allow what it asks for.

Migaru asks to read your mail and calendar, and to write drafts. It never asks to send, and never sends from your mailbox: a follow-up you approve waits in your drafts for you to send.

If your Microsoft 365 organization makes apps wait for an administrator, Microsoft says so, and someone who administers it there has to approve Migaru first. To add another mailbox, choose **Connect another** account under **Add another account**.

## The first read

Reading starts within fifteen minutes, or at once when you press **Sync now**. Two years of mail can take up to a day to read through, and the card shows how far it has got. Once it has caught up, new mail is picked up every five minutes. Your calendar is read as far back as your mail, and three months ahead.

## What it files, and what it leaves out

Each conversation with someone outside your company becomes one email thread, filed on the contacts in it, on their accounts, and on the account’s deal when it has exactly one open. Each meeting is filed on the people at it, their accounts and that deal. A thread two of you were on is kept once.

Left out:

- mail and meetings with nobody from outside your company, unless you choose all of them;
- threads where only one side ever wrote, except somebody asking to buy;
- mail from automated addresses;
- anyone on your **Never track** list.

Message bodies are never stored. What is kept is who wrote and when, the subject, a short preview, and the summary written from it.

## Your mailbox’s settings

Each mailbox has its own card, which only the person who connected it can change. A setting saves as soon as you change it.

- **Mail sync** and **Calendar sync**: external threads or meetings only, which is the default, all of them, or none.
- **Create contacts**: when you reach out, which is the default, from any interaction, or never.
- **Create opportunities**: on unless you turn it off. A company that is plainly buying gets a deal.
- **Teammates can see**: the subject and preview, which is the default, or who and when only. Choosing who and when only also takes away the subjects, previews, summaries and meeting titles already synced, and they can’t be brought back.
- **Find commitments**: off unless you turn it on. Then message bodies are read, in memory and never kept, for what each side promised.
- **Draft follow-ups**: off unless you turn it on. Then a follow-up is drafted, for you to approve, when one of your tasks with a contact comes due.
- **Save files**: keeps the decks and documents sent in your threads.
- **History**: how far back to read. Further back reads more; nearer keeps what is already here.
- **Personal addresses**: whether people writing from addresses like Gmail become contacts. They never become accounts.
- **Never track**: addresses and domains Migaru leaves out altogether.

Owners and admins can see how many outside emails each person has synced, never who they were with or what was said. The notetaker’s setting is on this page too: see [Record calls and prepare for meetings](https://www.migaru.ai/help/record-calls-and-prepare-for-meetings).

## Disconnecting, and when it stops

Press **Disconnect** on the card and confirm. Reading stops, and what was already filed stays. Connect it again later and it starts from the default settings.

If a connection breaks, its card says **Needs attention**: press **Reconnect**. You’re told if it has stopped syncing for six hours. Syncing stops for everyone when a subscription ends, and for anyone whose role is Pages only.
